Coming Soon: A New HR System to Help Us Work Better Together

On Dec. 14, if you now use the Workday system, you’ll begin using a new system for key HR services, provided through Infor. We call this new system My HR Information.

Dignity Health-affiliated managers who supervise employees on Workday will also use My HR Information to manage those employees. But, they’ll use the same system they use now to manage Dignity Health-affiliated employees.

If you do not currently use Workday, you’ll transition to My HR Information in future phases; timing is to be determined, but it’s likely the next phase will be in 2022.

We’ll use My HR Information for:

  • Manager Self-Service: Managing our teams online.
  • Employee Self-Service: Viewing/managing personal information.
  • Performance Management: Setting goals, completing performance reviews and check-ins.

We’ll have easy access to these functions through EmployeeCentral.

As CommonSpirit Health continues to build one ministry, our HR systems play an important role in providing unified, consistent services for all. When everyone moves to the new system, we’ll have a solid foundation for best practices with:

  • Centralized HR functionality and delivery.
  • Standardized CommonSpirit HR procedures and practices.
  • A single system for employee data.

Preparing for the transition
As we prepare to move from Workday to My HR Information, important action is needed by Nov. 23 (in other words, before Thanksgiving).

License and Certification Renewals
By end of business on Nov. 23, employees and managers should take these actions:

  • Submit renewals of all licenses and certifications that will expire on or before Dec. 14.
  • Submit life support course completions that will expire on or before Nov. 30.
  • Act sooner rather than later; if you have licenses and certifications that will expire by Dec. 14 or course completions that will expire by Nov. 30, but don’t submit renewals by Nov. 23, suspension notices will be sent on Nov. 25.

Job Changes and Job Requisitions
By end of business on Nov. 23, managers should take these actions:

  • Submit job requisition and job change requests effective-dated on or before Nov. 29.
  • Requisitions must be through the approval process in Workday by Nov. 27 or the transactions will be canceled and you will need to resubmit them in My HR Information, beginning Dec. 14.
  • Manage non-employee changes the same way.

Manager and Employee Self-Service

Nov. 29 through Dec. 13 is the “Quiet Period” for the transition from Workday to My HR Information. Employees and managers should be aware that:

  • Effective Nov. 29, manager and employee self-service in Workday will no longer be available.
  • If you need to complete an urgent transaction before Dec. 14, please open a case through EmployeeCentral.

HR Support Services will continue the following integrations during the Quiet Period (Nov. 29-Dec 13):

  • New hires, rehires, internal transfers, additional positions, and non-employee-to-employee transactions effective-dated before Dec. 13
  • Termination transactions
  • Leave of absence

The above transactions with an effective date of Dec. 13 or after will be integrated in My HR Information.

Manager training
From Dec. 14 to 22, we'll host training for managers with direct reports who will use My HR Information. The training will help managers navigate the system. Managers should watch for an email invitation to training in mid-November.

For more information
We'll continue to communicate about My HR Information as we move toward go-live. Quick Reference Guides (QRGs) will be available in November in EmployeeCentral – find them by using the “search” field. The QRGs provide step-by-step instructions for the business processes and transactions that managers and employees will complete in My HR Information.

For additional assistance, please open a case on EmployeeCentral or call the EmployeeCentral Contact Center at 844.450.9450.

Special note: The first phase of My HR Information will replace Workday for key HR functions. Employees in non-connected locations (for example, CommonSpirit Health at Home, CHI St. Alexius Health Bismarck and Trinity Health) who did not previously have access to Workday will continue to use their current systems. CHI St. Alexius Health Bismarck will transition to My HR Information in March 2021.
